Sending survey notifications and survey reminders to participants can help increase participation.
It is worth sending out an initial survey notification at the kick-off point, followed by a reminder after the halfway point, and one more reminder shortly before the end of the survey, drawing attention to the deadline.
With Leapsome, you can automate (custom) notifications and (custom) reminders: When setting up a survey, you can define if you want to use a standard notification or a custom one. You also can define how many reminders to send to the users who haven’t responded to the survey yet (in the 'Timing’ section of your survey settings, you can see who it will be sent to). Generally, one reminder will be sent two days before the end of the round, and the rest will be evenly spaced out between the start of the round, and two days before the survey deadline. Reminders will only be sent to participants who still have an open task, meaning they have not completed the survey.
Once you have kicked off the survey, you can see when the last notification/reminder went out and when the next one will be triggered.
How can I trigger survey reminders manually?
If you want to trigger an extra reminder manually, navigate to the survey for which you’d like to send the reminder (‘Surveys’ > ‘Your surveys’ > click on the survey). Then, click on the gear icon to open settings, and in the ‘Timing’ section, click ‘Send an extra reminder.’ Please note that reminders will only be sent to users who haven’t answered yet and can only be sent once the survey round is open.
You can customize the content of the notifications and reminders you would like to send under ‘Notifications.’ By selecting the second option ('Use custom email (we will automatically add a link to the survey)'), you can add customized variables by clicking on '+ Variable', such as the recipient's first name, survey name, respond by date, and respond by time. You can also define different translations for your customized notifications by clicking the symbol on the right-hand side of each text box (also see the arrows in the screenshot below).
Survey reminders in onboarding and exit surveys
Reminders for dynamically triggered surveys (onboarding or exit surveys) will be sent out every week on Monday to participants that haven’t answered yet, until the survey is answered. You also have the option to send out an extra reminder manually. You cannot set up another frequency or number of reminders.
Additionally, please keep in mind that participants will receive reminders for dynamic surveys for a maximum 3 months after the original notification creation (this happens dynamically for each participant).
How long will a dynamically triggered survey remain open?
Dynamically triggered surveys will remain open for 60 days after the last non-dismissed reminder sent. This means that when a dynamic survey task is still open and not completed, and the participant has not clicked the "dismiss" button next to the task, they will receive reminders for that survey task to be completed for up to 60 days after that last reminder, that was not dismissed, was sent.
