If a meeting is not relevant to you anymore, you have two options to remove it from your view: you can remove the meeting series, or you can deactivate it. Removing a meeting wipes it out completely and all data is deleted. On the other hand, deactivating a meeting simply removes it from the list of active meetings and hides it at the bottom, under 'Show deactivated meetings' button. Unlike deletion, deactivating a meeting retains the meeting data (such as talking points).
You can also delete a specific meeting instance if one instance is not relevant to a meeting series. For example, you have a recurring meeting on a specific day every week. One week you decide not to meet, because it's a public holiday or skip it for other reasons. You can open the relevant meeting, make sure it is not the 'Latest instance' (but an instance that already happened), and click on 'Actions' > Delete' to delete the meeting instance.
Please note: If the existing meeting instance you have selected is the latest meeting instance (indicated by being the highest option in the drop-down), you will not be able to delete it. In this case, you will have to wait until the meeting has passed and delete it after.
Alternatively, if you want to deactivate an entire meeting series and remove it from the list of your current meetings, please take the following steps:
- Open the meeting you want to deactivate
- Click on the gear icon to open up the settings of this meeting
- Switch the toggle 'Meeting is ACTIVE'
Your meeting history, including notes and talking points, will still be available, but you won't receive any future notifications about the meeting. To re-enable it, simply turn the meeting on again using the toggle.
If this meeting was first created in Google Calendar, and then linked in Leapsome, you will need to first click 'Unlink Google Calendar Event'. The option to deactivate the meeting will then show up.
