Review settings
1. What is the difference between anonymous 'separate' and 'aggregate' results in a Review cycle?
- 'Separate' results mean that the scores and comments each employee provided are shown, but their name is hidden. Their responses are shown as written by: 'AU (Anonymous User)'.
- 'Aggregated' results mean that only the total average score will be displayed in the radar chart at the bottom of the assessment. Individual ratings on specific competencies or questions will not be displayed. Additionally, all comments that may have been submitted alongside the score will be hidden.
2. What does the maximum number of peer requests mean?
It means that a maximum amount of peer requests can be set, to avoid the overuse of certain employees. If the maximum amount is reached, this person can not be requested for further peer feedback during the cycle.
3. Can sections and/or skills have different weights in a review template?
Yes, in a review template, sections (general skills, team-specific skills, and goals) can have different weights. You could also set different weights for the individual skills instead of weighing the entire section. This feature (called "Edit the default scale and question weights (not recommended)") can be found at the bottom of the question page when setting up a review template. It is Leapsome's Best Practice not to weigh the sections differently so complexity is reduced.
4. Can the order of categories be changed in reviews (e.g. first general skills, then team-specific skills)
Yes, this can be changed by dragging and dropping the questions in the questionnaire.
5. Can signatures be removed to make assessments editable again?
Yes. You can find a detailed description of how to do this and what kind of changes can be made in an ongoing cycle in this article.
6. Does the language of the review adapt to the language settings of each user?
No, all participants see their assessments in the language the skills were set up in unless you are using translations and adding translations of those questions manually.
7. What happens if I update a user's email address during an active cycle because they did not receive the notification to participate?
If you have the incorrect email address input in a user's profile when a review cycle kicks off and your user did not receive the notification, you can update the user's email address in 'Employees', and then go to Admin Settings > Notifications, and resend the notification to that user again. The user will then receive the notification to participate in the active review cycle.
8. Can participants edit their assessment after they have submitted it?
Yes. Follow the instructions described in this article to do so. Please note: editing is no longer possible after the review cycle has closed or signed. Only the admin can remove the lock after signs to make it editable or re-open the cycle to let users edit their answers.

9. Can the participant remove peers from the list who have already started giving feedback?
No.
10. Can I edit the visibility settings of an ongoing review cycle?
Yes, but we advise not to change the visibility settings without communicating them to the participants accordingly.
11. Can I edit the questions/skills of an ongoing review cycle?
If you would like to change the wording of a question in an active cycle, you would need to do so through the template level. Navigate to reviews > templates > select the template > questions. Once saved, these changes to the question will affect all cycles created with that template. If changing the wording is going to change the meaning of the question, please create a new question in the template instead. If you create a new question, this new question will not be added to all the past and present cycles that were created from the template and will only affect future cycles. Therefore the only changes you can make to questions in an active cycle, are correcting spelling or making the question more clear. 12. If I change the default scale will an ongoing review cycle be updated with the new scale?
No, the default scale will not be updated for ongoing cycles, it will apply only future ones. Changes regarding the option to "make a score/comment optional” will immediately show in ongoing cycles. Here you can see all the edits you can and cannot make on the active review cycle, and find instructions.
13. Can users edit peers or managers in an ongoing review cycle?
Yes and No. (Super-)admins can edit the selected peers as long as they haven't given their review yet. This means that if selected peers have already given their assessments, they cannot be deleted from the cycle as peers/managers. (Super-)admins can edit peers/managers in an ongoing cycle until they have started writing their assessments. The only way to change the manager, if they already started the assessment, would be to remove and re-add the participant to the cycle. Participants themselves cannot edit their managers.
Writing an assessment
14. Why are some questions not in the context panel?
Only goals and competencies that are in your Competency Framework will show up in the context feedback section with scores and context. Open-text questions will only show past comments when this option is visible. Multiple-choice questions do not have this button.
15. Why is no data displayed when looking into the context panel?
This can have two reasons. First, there may not yet be any data on the specific competency (e.g., if it's a newly introduced competency or the first Review in Leapsome). Second, you may not have the required access rights for that data (e.g., goals linked to the competency may only be visible to managers).
16. I haven't started writing an assessment yet, but the task is gone from the dashboard. Why?
Review tasks disappear from the home tab and Reviews dashboard as soon as they have been accomplished. If you haven't started writing it, it is likely that the super-admin or cycle owner closed the Review Cycle.
Assessment visibility
17. Which roles have access / visibility rights within a cycle?
This matrix provides you with an overview of the 'Reviews' visibility and access rights of (super-) admins, template owners, review cycle owners, HRBPs, team leads, managers, and 'normal' users.
18. When will peer & direct report feedback with “anonymous (aggregated results)” visibility settings be displayed (in the list and in the radar chart)?
In the list, feedback will be displayed as soon as two people have given feedback, regardless of the group they belong to. In the radar chart, aggregated scores will be displayed for a group as soon as the group includes at least two people.
19. Is feedback auto-released if managers never actively share it?
As long as the manager did not click to “finalize”, no one except themselves can see or share the assessment on their behalf. However, if they finalize the assessment, admins can share the assessments on their behalf. The assessment is not auto-released.
20. How can I access the answers to 360° reviews that peers have given to my team members?
Depending on the admin settings, you can either see them 1) immediately after they were completed, 2) after the manager review has been shared, or 3) not at all. To access them (if the visibility allows) go to 'Reviews' > 'All Reviews' > find your team member > toggle down to see the list of reviews they have participated in > select the right one and click the arrow button to go to that review.
21. If I am an admin and also a manager, which visibility rules apply to me?
If an admin/owner has broader visibility in their admin role than in their manager role, the admin visibility applies; otherwise, the manager visibility applies. In the case, where you are the participant, for your own assessment, reviewee visibility overrides, so if admin has visibility, but reviewees don't, you won't see your own results.
22. When including goals in a review cycle, can I see where am I the owner, a contributor, or a manager of the goal?
Yes, when you expand the goal question, you'll see which role is assigned to you in the goal.
Relevant owner tags are:
- Goals - Owner, Contributor, Manager
- Key Results - Owner, Contributor
- Initiatives - Owner, Contributor
- No tags are applied if none of these are valid
23. Why is my manager's average score not visible to me?
If private questions are included in the review questionnaire, then the manager's average score would not be visible. This is because the score takes the private question into account, and if visib would be able to deduce the score for the private question that they do not have visibility for.
24. Why I cannot see certain reviews from my manager or from my direct reports?
What you can see in your review will largely depend on how the visibility settings your Leapsome Admin has configured for the review cycle. It might be that the visibility has been turned off for a certain reason or that you have to first submit your self-assessment to see the manager or peer assessments. If you are running into not seeing a certain assessment, please consult your Leapsome Admin about the visibility.
25. Can you make manager assessment anonymous in a review?
No, manager assessments can't be made anonymous in a review cycle.
26. Why is my radar chart not showing scores for all skills?
If the same scale is used within all reviews, then the radar chart will show the scores and the scores of the skills. However, if the reviews use a mixed scale, then scores will be normalized out of 100. Therefore, any skills that were given the score of 1, would be normalized to 0, and would not appear in the radar chart.
Peer nominations
27. Does the participant get a message if a peer declines to give peer feedback?
No.
28. Which people can’t be nominated as peers?
You can't nominate people that aren't active in Leapsome yet. You also can't nominate your manager or direct reports if they are already included in the cycle. Also, if a maximum number of peer feedback requests that a single employee can receive is met in the cycle that person cannot be selected as a peer.
29. Who approves peers for users who have no managers (If set: "Managers approve/select the final peers for each participant" and if it isn't set: "Auto-approve nominated peers if the manager hasn't done it before the deadline")?
In this case, peers will be automatically approved regardless of settings to make sure peers are included in the assessment without having to wait to be approved. They can also be added manually, as shown in this article by admin.
30. How are a participant's peers approved if they do not have a direct manager (e.g. a CEO)?
If a participant, like a CEO, does not have a direct manager, but "Managers approve/select the final peers for each participant" is enabled in the scope, the peers that the participant selects would be automatically approved. This is regardless of whether "Auto-approve nominated peers if the manager hasn't done it before the deadline" is selected. Therefore, if a participant does not have a primary manager, the peers that they select would always be automatically approved once selected.
Analytics
31. Why is the average score for a user on the cycle dashboard different to the (total) average score visible for the user in review analytics?
(Total) scores presented in analytics may differ slightly in comparison to the cycle dashboard calculated average, if including peer assessments. The cycle dashboard average score will take into account the average of peers’ total ratings, whereas in analytics, you will see the average of all individual questions answered by peers. This is most relevant if you have made peer scores optional in a review, in which case peers that answer all questions have a ‘higher impact’ on the total scoring in analytics.

32. Why can a user not assess his/her manager ('access denied')?
The manager was probably added to the cycle or manager (auto) group after the cycle kick-off. Admins can add the user as a direct report as instructed here.
33. Why is someone still asked to review their old manager?
Reporting lines need to be changed upwards and downwards, i.e. the employee needs to get a new direct manager, and the manager's direct reports need to be changed too. Both can be done by clicking on "Edit" next to the person's name on the Cycle Dashboard, if the assessment is not started by the currently added user. Alternatively, and also to avoid such issues in future cases, we recommend enabling the option called “Automatically update manager if reporting line changes during the cycle. This will make sure to change the review participants according to the latest reporting line update, as long as the old manager/direct report did not start the assessment.
34. Does the 'discuss your assessment' interface text box have a max. character limit?
No.
35. Why can’t I change the size of the calibration box chart (e.g from 5x5 to 3x3)?
The size of the box chart cannot be changed. Instead, it is determined by the scale your review uses. The dropdown menu with the different sizes is only used for you to define different box descriptions to the different sizes. Which size will then be applied will still depend on the respective cycle’s scale.
36. Why can I not select a custom attribute in the filters throughout the reviews module?
Please make sure the custom attribute is enabled to show in filters by going to Settings > employees and profile sections > attributes > custom attributes > usage > show as a filter across the wider platform.
