Leapsome's review cycles dashboard includes a variety of filter options to view and analyze a cycle's current status. As an admin, you may want to track the status of an ongoing review cycle (i.e., who has filled out their reviews, how many people are left, etc.). To do so, navigate to the 'Reviews' tab, click on 'Cycles' in the sub-menu, and click on the name of the cycle you wish to learn more about.
At the top of the page, you see a progress bar. This progress shown is based on the timeline progression and moves once your cycle proceeds to the next stage, e.g. to Development talks phase. Only when the cycle is closed it will be marked as 100%. To see the progression of specific tasks within each stage, you can see the progress of completed assessments in percent below each phase that is in scope. In the screenshot attached, 5% of Self-Assessments have been completed. By hovering over that text, you see the numbers in total.
Within this 'Current status' page, you get an overview of each participant and the status of their assessments.
If you wish to search for specific people, you can use the filter menu. These filters will help you find the information you are looking for and help you see what is outstanding.
Multiple types of filters can be selected and will remain. If you click on an employee's review from those filters, and then go back to the review cycle dashboard, the previously selected filters will remain and your scroll position will remain fixed on the area you last left it on, saving you time and manual effort.
Using the filter menu, you can filter the participants in the following ways:
- By status (Predefined)
- Self-assessment: Not started
- Self-assessment: In progress
- Self-assessment: Completed assessment (not signed)
- Self-assessment: Signed
- Manager: No manager set
- Manager: Not started
- Manager: In progress
- Manager: Completed assessment (not shared)
- Manager: Shared with reviewee (not signed)
- Manager: Signed
- Peers: Not yet nominated
- Peers: Not yet approved by manager
- Peers: Not started
- Peers: In progress
- Peers: Complete
- Direct reports: Not started
- Direct reports: In progress
- Direct reports: Complete
- Manager and Reviewee Signed
- By individual user
- By team
- By level
- By custom attribute
Please note: In the export, the status ‘Not Started’ will be displayed as 'Incomplete'.
The meaning of the various symbols found on each Participant can be broken down as follows:
Empty boxes indicate that there has been no progress on that type of assessment within the review. In the case above, the self-assessment, peer/direct report assessment (360°s) and manager assesments are "Not Started".
Check-marks within a box indicate that this type of assessment within the review has been "Finalized" by the pertinent individuals for that field.
A lock beside Manager field indicates that the manager assessment has now been "Signed, whereas the lack of any symbol beside Self-A. field indicates that the self-assessment has been "Signed".
An X beside the Manager field indicates that there is no manager listed for this participant in this cycle. 0/0 beside 360°s indicates that while Peers and/or Direct Reports are to give assessments in this review, none have been listed or selected.
The pencil symbol indicates that the status for the field it corresponds with is "Started".
