Watch our video on how to set up competencies here.
As a Leapsome admin, you can create a competency framework for your company. To do so, please click on 'Competencies' in the left-hand menu of the Leapsome home screen.
Viewing your Competencies
You can view your current set of competencies in a list and a matrix view. Each new competency within the framework can be assigned to 'Everyone' (i.e., applicable to the whole company) or a specific team. Competencies must also be associated with a category, which helps visually aggregate competencies in analytics.
Creating competencies
To create a competency, click the 'Create competency' button in the top right-hand corner. When creating or editing a competency, you'll go through the following steps:
- Name your competency by a short but descriptive name.
- Assign a category for data aggregation later on.
- Assign a team if it is a team competency, or uncheck that option to make it a general / company-wide competency.
- Determine if you want the options to hide the competency from the instant feedback module or if you want to make the competency a specialist competency.
A specialist competency can only be reviewed by people from the associated team, allowing you to add technical competencies not reviewed by peers from other teams. - Write the default description to describe what the competency generally is and why it's important.
- Write level descriptions for any seniority levels you've created.
For example, what's expected from a junior employee for 'Problem-solving' might be very different from the expectations for a senior-level executive. This means you'll want to write a different description of those expectations for each level (if you have levels).
You can leave the level description boxes for teams not assigned to this competency empty.
- Click 'Update competency' at the bottom to save your work.
By combining levels and teams, Leapsome's competency framework allows you to create team-specific career tracks. When filtering for a team in review analytics, you'll only see the competencies and levels relevant for that team.
Here is an example of a team competency with different competency levels:
[Beta Feature] Use AI to create competencies
We recently launched an AI feature to create content for your competency framework in your organization, based on number of competencies you want and based on levels you want for each department. You will find a wide variety of roles in the dropdown menu 'Department name'.
Super admins and admins can go to Competencies > Actions to find this feature.
Important note: Please note that this is a beta feature; as is the case with any AI tool/feature, please always double-check and review the work/output created using AI as they might not be reliable and ready to use immediately.

Best Practice Competency Framework to ImportUpdating and deleting competencies
Please note that updating an existing competency will affect all reviews that already use this competency. If you want to significantly change the meaning, please create a new competency instead. If you delete a competency, it will remain in the active cycle but won’t be included in future ones.
Editing Competency Framework
You can also remove or re-organize the competencies you have set up. This is possible in Actions > 'Manage competencies'. To re-organize competencies, click on the drag-and-drop icon. To remove a competency, click on the competency and delete competencies in the lower left-hand corner.
Export Competency Framework
You can also import or export your competency framework to further build your framework. Go to Competencies > 'Actions' > 'Import/Export' and download the template for your competency framework. You can then fill in the excel template and re-upload it to create or update your competencies for your competency framework.
