Finding the assessment
If asked to write an assessment for one of your direct reports (a person you directly manage), you will be notified via email, Slack, or Microsoft Teams. You will also see a corresponding to-do item on your Leapsome home screen in the ‘Tasks’ list or under ‘Reviews’ > ‘Dashboard’ > ‘Ongoing Assessments.’ In addition, you can also find an overview of all the reviews under ‘All Reviews’ in your Reviewes module where you can search by a specific colleague.
Writing answers
You will arrive at a screen similar to the screenshot below by clicking on the' Ongoing Assessments’ item. You will first see a collapsed view of every question and can click to expand and answer each one. Some questions are linked to a scale, while others may only require a comment.
You may already see the answers of other contributors to this assessment (i.e., your direct report's self-assessment, peer assessments, or their direct reports' assessments). This visibility depends on the settings determined by the admin of the cycle.
While writing your answers, you can access all (visible) goals, meetings, instant feedback, and previous assessments for the reviewee via the context panel.
Your progress saves automatically. You can leave the assessment as a draft and go back and complete it at a later stage. At this stage, nobody else can see your answers.
To learn more about giving valuable feedback, check out our playbooks, "How to Give Constructive Feedback to Employees" and "How to Write an Employee Performance Review."
Submitting your assessment
Once you have answered all mandatory questions, you can submit the assessment by clicking the purple 'Finalize' button on the bottom right-hand side of your screen. Doing this will mark it as complete for administrators. Before submitting, check who will see your answers by hovering over the question mark next to 'Finalize' at the bottom-middle of your screen.
Sharing your assessment with the participant
After you have submitted your assessment, a pop-up window 'Share now?' will appear. You can choose between 'Wait until later' and 'Share now with employee.’ You will additionally see who will see your responses within this assessment.
Clicking the button 'Share now with employee' will share the answers with the person you've assessed. We recommend sharing the assessment shortly before or during your development talk. To find a suitable solution for your team on when to share the assessment, the below-listed advantages and disadvantages of sharing the assessment during the development talk might help.
Advantages:
- Starting the conversation without any biases from what you might have read
- Giving more verbal context to written statements from managers or peers
- Decreasing the potential of misconceptions from the reviewee when reading through the assessment alone
Disadvantages:
- There is less time for reviewee to prepare arguments to support a given score and reflect on given scores from peers or managers
If you want to delay sharing your assessment until later, find it later in the Reviews tab. It will be under 'Dashboard' > 'Ongoing Assessments,' where the task will be titled "Share your assessment with a direct report." It will take you to the same page with the 'Share' button.
Please note: Admins or cycle owners can disable the option for managers to share the assessment until a specified time. If you cannot share the assessment, then the setting to allow managers to share the assessment at their convenience is disabled. This means the admins can enable managers to share their assessments at a later date, or the admins can share the assessment on their behalf at a later time, once the assessment is finalized.
Discussing the results and editing your answers
Sometimes, the development talk brings up topics requiring clarification or change. Thus, up until the digital signature, you will still be able to edit your answers. To do so, click the 'Edit' button at the bottom right-hand corner of your screen.
When sharing the screen during a development talk, you can enable the presentation mode. This will hide all private questions (e.g., questions about promotion or salary) and allow you to export a PDF without those questions.
Accepting the results
You can now find the results of this assessment (and all others) under 'Reviews' > 'Dashboard' > 'Ongoing Assessments'> search the name of the direct report and click on 'Discuss and sign the Assessment’.
Once you have shared and discussed the results with the participant, you should both summarize your discussion in the corresponding text boxes at the bottom of the assessment and click 'Sign Assessment.' Doing this will lock the results.
Please note: Cycles will be closed automatically two months after the development talk deadline.
Accessing the results at a later stage
You can conveniently export all answers as a PDF file. All assessments you complete can be found in the 'Reviews' tab > 'Dashboard' > 'Past Assessments.' You can also find all completed and progressing reviews in the 'All Reviews', and filter by any of your reports (and if cascading access is enabled, you can also filter by indirect reports).
You can also see directly the open tasks you have open for your team from the home page when clicking 'Team dashboard.’ This gives you a quick overview of your open tasks in ongoing review cycles for your direct reports.
Viewing the answers of other contributors (optional)
Depending on the visibility settings chosen by your admins, you might see responses from the self-assessment of the reviewee, peers, or direct reports of the reviewee while filling in your assessment. In that case, you can take these answers into account when writing yours.
