When pulling a Review cycle's Excel export for scores & statuses found by opening a review cycle, clicking on 'Actions' > 'Export scores & status', you will see a lot of columns prepopulated with data. Below, you will find explanations of these columns and what kind of data is shown.
- Reviewee ID - the automatically generated Leapsome ID of the reviewee (found in employee profile)
- Reviewee Name - their full legal name
- Reviewee Preferred Name - reviewee's preferred name defined in their employee profile
- Reviewee Email - reviewee's work email
- Reviewee Teams - all the teams the reviewee belongs to (including other group types, such as division, business units, etc.)
- Manager ID - the automatically generated Leapsome ID of the reviewee's manager
- Manager Name - manager's full legal name
- Manager Preferred Name - their preferred name defined in their employee profile
- Manager Email - manager's work email
- Manager Teams - all the teams the manager belongs to (including other group types, such as division, business units, etc.)
- Additional Manager IDs - the automatically generated Leapsome ID of the reviewee's additional manager
- Additional Manager Names - additional manager's full legal name
- Additional Manager Preferred Names - their preferred name defined in their employee profile
- Peer IDs - the automatically generated Leapsome ID of the reviewee's peers
- Peer Names - full legal names of peers
- Peer Preferred Names - preferred names defined in their employee profile
- Direct Report IDs - the automatically generated Leapsome ID of the reviewee's direct reports
- Direct Report Names - direct reports' full legal names
- Direct Report Preferred Names - direct reports preferred names defined in their employee profile
- Self-Evaluation Avg - an average score of all answers provided by the reviewee themselves in their self-assessment (the score cell will show 'n/a' if the assessment is not finalized during the export)
- Manager - Total - an average score of all answers provided by the manager (the score cell will show 'n/a' if the assessment is not finalized during the export)
- Manager - All Company Skills (if enabled, not for custom selection) - an average score of all company-wide competency questions provided by the manager (the score cell will show 'n/a' if the assessment is not finalized during the export)
- Manager - All Team Skills (if enabled, not for custom selection) - an average score of all team-wide competency questions provided by the manager (the score cell will show 'n/a' if the assessment is not finalized during the export)
- Manager - Goals (if enabled) - an average score of all goal-based questions provided by the manager (the score cell will show 'n/a' if the assessment is not finalized during the export)
- Manager - All other questions - an average score of all other answers (not defined above) provided by the manager (the score cell will show 'n/a' if the assessment is not finalized during the export)
- Additional Manager Avg - an average score of all answers provided by the additional manager (the score cell will show 'n/a' if the assessment is not finalized during the export)
- Peer Avg - an average score of all answers provided by peers (the score cell will show 'n/a' if the assessment is not finalized during the export)
- Direct Report Avg - an average score of all answers provided by direct reports (the score cell will show 'n/a' if the assessment is not finalized during the export)
- Reviewee / Manager Status: The four statuses shown in the export are:
- Incomplete: This is a blanket status that is shown when any of the tasks that need to be done in the review is not done. You can check the details by reading each column in the row to see who's review assessment is missing (the cell will be empty if incomplete). Note: The status ‘Not Started’ will be displayed as 'Incomplete' in the Excel export.
- Started: User has clicked and opened their task and they have started writing some responses to their review (all draft versions of review assessments are auto-saved by the platform).
- Completed/Done: User has clicked 'Finalize' after writing their entire review. Users still have the option to go back and edit their review assessment that has been saved.
- Shared: Depending on the visibility setting of the review, review has been shared with the user (by admins/cycle owners/managers).
- Signed: User has received, reviewed and signed the review assessment they received from peers/managers/direct reports.
- Incomplete: This is a blanket status that is shown when any of the tasks that need to be done in the review is not done. You can check the details by reading each column in the row to see who's review assessment is missing (the cell will be empty if incomplete). Note: The status ‘Not Started’ will be displayed as 'Incomplete' in the Excel export.
- Additional Manager / Direct Report / Peer Status (% completed): 0% represents the 'Not started' & 'Started' statuses; 100% represents the finalized/completed assessments
- Overall Status (% completed): all statuses combined (Manager + Direct Report + Peer + Self). The percentage numbers are combined of all assessments, and showcase how far away from total completion the review is. Whenever an assessment is completed, it counts as 20% of the overall status (in %). For example, if only self-assessment is completed thus far - the number showing up there would be 20; Whereas 100% shows that all relevant assessments for this employee have been completed
- Peer Nomination Status (if applicable): statuses could be: 'Done' or 'Nomination pending', or 'Approval pending'.
The remaining cells found in the Excel export will contain personal reviewee data, such as their Leapsome ID, External ID, first & last names, as well as all information (if applicable) within the custom attributes.
However, an important distinction: there are two primary manager cells:
- The X cell titled 'Primary manager' will have the name of the reviewee's manager in this review cycle.
- However, a further cell (typically found in the column BG) titled 'Primary manager (reviewee)' will have the name of the reviewee's manager in the system.
