Admins can import historical survey data directly into Leapsome. This functionality allows you to bring over all your previous survey results, no matter which vendor you were using before. This makes it easy to maintain a comprehensive view of your survey history, enabling more accurate trend analysis and better-informed decision-making.
How it works: You create a Survey in Leapsome that reflects the questions asked in the survey you wish to import. You can then pull a customized import template, that will contain the questions of that survey. Then, paste the data you wish to import to the right places in the template and upload it. The data will then show in Leapsome's typical survey layout, allowing you to view the results. Keep reading for the step-by-step instructions.

Downloading the survey template
To get started, navigate to 'Settings' > 'Integrations and imports' > 'Excel imports'. There, select the type of import to be 'Historical survey round'.
Below, select the survey to which you'd like to import this data. Before selecting the survey, you can either create a new survey, or select an existing survey that matches the survey questions you want to import. Then, select the number of survey rounds you'd like to import.
After, click on 'Download template'.
Populating the file with survey data
A few things to note beforehand:
- Non-anonymous survey upload is not supported at the moment.
- Leapsome supports score-based question imports only. This means that questions containing answers with comments or multiple-choice options cannot be uploaded.
- Please do not delete the pre-filled data in the Excel template. It's there to serve as a reference point and allow the system to map your data correctly. Only populate data in the cells highlighted in the steps below.
Basics
In the 'Basics' tab of the file, you will only need to populate two columns with data to define the start end dates for the survey rounds you'd like to import. Other columns will be pre-filled with data by the Leapsome system.
- Survey ID - populated automatically by Leapsome
- Survey name - populated automatically by Leapsome
- Survey round start - this will need to be populated by the Super-(admin). Make sure to adhere to the format DD-MM-YYYY.
- Survey round end - this will need to be populated by the Super-(admin). Make sure to adhere to the format DD-MM-YYYY.
- Survey round ID - populated automatically by Leapsome
Please note: ensure the round start and round end cells are formatted as text. Not having them formatted as text can cause errors when uploading the file to Leapsome.
Survey results
In the 'Survey results' tab, you will be able to enter the scores and participant counts for various user segments, that participated in the Survey. This can be, for example, a score per team, location, or manager - you can decide which segments you want to populate - the more data you add, the more you will be able to see in Leapsome's Survey analytics later on.
- Survey round ID - populated automatically by Leapsome
- Question ID - populated automatically by Leapsome
- Question text - populated automatically by Leapsome based on the questions created in the survey
- Segment type (e.g localTeam, manager, workLocation, others) - populated automatically by Leapsome. Segment type is the type of segment the question belongs to
- Segment ID (id of segment) - populated automatically by Leapsome
- Segment name (reference only) - populated automatically by Leapsome
- Segment score (0-100) - this will need to be populated by the Super-(admin). Please note: In this column, add the normalized average score (ranging from 0 to 100), of all the answers to these questions.
- Number of answers - this will need to be populated by the Super-(admin). Here, add the number of answers submitted for this question
Please note: Make sure to add the scores in a scale of 0-100. This allows Leapsome to handle surveys answered on multiple different scales and make data comparable. By default, all scores are set to zero. If you upload the file as is, the segment score will be interpreted as zero. If you instead want to indicate that for a specific segment or question there is no score, please simply remove the zero for the respective cell and leave it empty. Leapsome will interpret this as 'No data available'.
Tabs 'Questions', 'Managers', 'Teams' and 'Locations'
These tabs are for reference purposes only and are populated by Leapsome automatically. No to-dos for the Super-(admin).
Importing historical survey data
Once you populate your Excel file with data, you can upload it via the same page and clicking on 'Upload file'.
Please note: please do not remove any of the pre-filled data to ensure Leapsome can process the file without issues. Further, ensure no additional/new tabs are included in the Excel template before you import it.
When the file is uploaded and before the import is confirmed, you'll have a chance to review the import in the preview below. If any errors or invalid details are included in the uploaded file, you'll see the corresponding warning messages next to the affected cells in the preview tables. Alternatively, you can simply filter the preview for statuses 'Valid', 'Warning' or 'Error'.
Viewing imported results
Once the historical survey data is imported, you'll be able to view it by navigating to the respective survey from the 'Surveys' module. When opening the survey, you'll know it contains imported data by the appearance of the disclaimer 'This survey contains imported data'.
Please note: Heatmap does not support the import and thus will not include imported data.
The imported rounds will also contain a disclaimer in their respective filters in brackets to help you differentiate imported rounds from the ones that ran in Leapsome directly.
FAQs
1. Our survey has conditional questions/questions with demographic rules. How will the import affect them?
Leapsome will show these questions in the import template and allow the Super-(admin) to import the results based on their data.
2. We want to import a non-anonymous survey. Is this possible?
At the moment, this isn't possible. Instead of assigning scores to individual users, please assign them to user segments.
3. Our survey contains questions without scores (e.g. multiple choice or comments-only questions). Can we import them?
No, we support score-based question imports only.
4. Our questions use a likert (1-5) scale. The import only accepts the normalized 0-100 scores. How do I input them in the import template?
We only accept the normalized 0-100 scale. If your questions contain scores on a 1-5 scale, please convert them to the equivalent on the normalized scale and add the normalized score to the import template.
